Transfer YOUR Xero

If you have recently appointed a new accountant, one of the first administrative steps may be transferring your Xero subscription.

A Xero subscription transfer changes who is responsible for billing and administrative control of the Xero organisation. Your financial data, transactions and settings remain unchanged.

This guide explains what a subscription transfer involves and how to complete it, including situations where your previous accountant currently owns the subscription.

What a Xero Subscription Transfer Means

When a Xero subscription is transferred:

What changes

  • The subscriber (billing owner) of the Xero account

  • Responsibility for future subscription payments

  • Administrative control of the organisation

What does not change

  • Your organisation’s data

  • Historical transactions

  • Invoices, bills, contacts and reports

  • Bank feeds, integrations and settings

All financial data remains exactly as it is.

Who Can Initiate the Transfer

Only the current subscriber or billing contact can initiate a Xero subscription transfer.

The new subscriber must consent to the transfer before it is completed.

User invitations and permissions can only be managed by users with Standard or Adviser roles who also have Manage Users access.

Option 1: Transfer Within Xero

This is the simplest method.

  1. Log in to Xero

  2. Click your organisation name

  3. Select My Xero

  4. Choose Transfer subscription

  5. Enter Millbooks’ details

  6. Select Request transfer

Once submitted, the new subscriber will receive a request to accept the transfer.

Option 2: Contact Xero Support

If you are unable to complete the transfer in Xero, Xero Support can assist.

You will need:

  • Your organisation name and organisation ID

  • The email address of the new subscriber

  • Verification details confirming you are authorised

Xero Support will then initiate the transfer process.

option 3. If Your Previous Accountant Owns the Xero Subscription

In some cases, the Xero subscription is held by the outgoing accountant rather than the business owner.

This typically occurs where the accountant originally set up the Xero organisation under their own practice subscription.

If this applies:

  • You may not be able to initiate the transfer yourself

  • The transfer must be actioned by the current accountant

In these situations, the outgoing accountant can either:

  • Transfer the subscription directly to the new accountant, or

  • Transfer the subscription to the business owner, who can then approve a further transfer

If you are unsure who currently owns the subscription, this can be checked in My Xero under subscription and billing details.

Additional Information

  • The current subscriber remains responsible for subscription charges until the transfer is accepted

  • Existing user roles and permissions remain unchanged unless updated by the new subscriber

  • Both parties receive email confirmation once the transfer is completed

  • The new subscriber can change the subscription plan after accepting the transfer
